North Dakota Kinship Care Receipt Tracking for Reimbursement

Why Receipt Tracking Matters

The Kinship-ND $800 lifetime expense reimbursement operates entirely on documented proof of purchase. No receipt means no reimbursement — the program doesn't accept estimates, bank statements alone, or verbal confirmation of purchases. Every dollar you want reimbursed needs a paper or digital receipt that shows the item, the date, and the amount.

Starting a tracking system from day one saves you from scrambling later when your Kinship Navigator asks for documentation.

What Qualifies for Reimbursement

Eligible expenses focus on immediate child needs:

  • Bedding (crib, mattress, sheets, blankets)
  • Clothing and shoes
  • Car seats and safety equipment
  • Diapers, formula, hygiene products
  • Licensed childcare fees

The common thread: expenses directly related to the child's care that you paid out of pocket. Groceries, rent, and utilities generally don't qualify — those are covered by SNAP and other programs.

The Two-Month Lookback Window

Kinship-ND accepts receipts for purchases made up to two months before your SFN 408 application date. If the child moved in on March 1 and you applied for Kinship-ND on April 15, receipts from February 15 onward may qualify.

This lookback window makes early application critical. Every day you wait narrows the window of past expenses you can recover.

How to Organize Your Receipts

A simple system works best:

Keep a dedicated envelope or folder. Every time you buy something for the child — clothes at the store, a car seat online, a childcare payment — put the receipt in the folder immediately. Don't rely on finding it later.

Write the child's name on each receipt. If you're caring for multiple children, note which child the expense was for. The $800 limit is per child, and your navigator needs to allocate expenses correctly.

Photograph or scan receipts. Thermal register tape fades within months. Take a phone photo of each receipt the day you get it and store it in a dedicated album or folder on your device.

Track the running total. A simple list — date, item, amount — keeps you aware of how much of the $800 you've claimed and how much remains.

Submitting to Your Navigator

Once you're enrolled in Kinship-ND (via SFN 408), your assigned Kinship Navigator will tell you exactly how to submit receipts. The reimbursement is either paid directly to you or made as a vendor payment to the provider, depending on the expense type.

Submit receipts in batches rather than one at a time — it's easier for both you and the program to process a group of documented expenses together.
